Position Summary

The Administrative Coordinator will report directly to the Executive Assistant and will be responsible for assisting in the day-to-day operations of the national office. This position will also provide administrative support to the Finance and Human Resource departments as needed. The position is based in Arlington, Virginia at Trout Unlimited's national office.

Duties and Responsibilities

  • Assist with facilities management such as daily up-keep of kitchen and office supplies.
  • Maintain national office equipment such as printers, photocopiers and fax machines.
  • Act as national office point of contact for field staff inquiries.
  • Process all incoming and outgoing mail, distribute faxes, manage meeting rooms and arrange for catering where required.
  • Work with building management to address office issues/maintenance requests, as needed.
  • Act as point of contact for national office vendors.
  • Process invoices and payments pertaining to national office as well as fulfillment and assistance in processing of corporate filings and documents as instructed.
  • Assist Human Resources in the onboarding of new staff across the country as well as closing out terminated employees.
  • Assist with inventory management and coordinate replacement of TU-issued laptops with appropriate staff and IT vendor.
  • Manage all employee cell phones on the corporate phone plan.
  • Work with Human Resources to issue certificates of insurance for various activities and locations of the organization.
  • Assist in organizing and coordinating company events.
  • Perform other ad-hoc requests as required.

  • Bachelor's Degree preferred and 3 years of office experience required.
  • Knowledge of Human Resources is a plus.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent written and oral communication skills.
  • Ability to multi-task.
  • Positive attitude with energy and willingness to do what it takes to get the job done.
  • Ability to be both flexible and adaptable.
  • Proficient in Word, Excel, PowerPoint and Outlook.
  • Very strong interpersonal skills.
  • Self–starter, able to work with minimal supervision.
  • Previous work experience in a non-profit is preferred.
